Privacy Policy

How AICaller handles account, calling, and service information.

1. Scope

This Privacy Policy explains how AICaller collects, uses, discloses, and protects personal information when businesses and their authorized users access our websites, trials, accounts, AI calling tools, and related services.

AICaller acts as the controller of information used to operate accounts and the public service. When a business uses AICaller to place or receive calls, that business determines the purpose of the call and is responsible for its own privacy notices and lawful basis.

2. Information we collect

  • Account information: name, business email address, authentication records, workspace details, and agent configurations.
  • Calling information: telephone numbers, call direction, timestamps, duration, status, recordings, transcripts, and call outcomes.
  • Billing information: plan, usage, subscription status, and payment references. Payment card details are handled by Stripe.
  • Technical information: device and browser details, session cookies, security events, request metadata, and network information used to protect the service and enforce usage limits.
  • Communications: messages sent to our legal, privacy, or support addresses.

3. How we use information

We use personal information to:

  • provide, authenticate, operate, and secure AICaller;
  • connect calls and generate AI speech, transcripts, and call outcomes;
  • administer plans, usage, payments, and service communications;
  • detect abuse, enforce limits, troubleshoot failures, and maintain reliability;
  • comply with law and respond to valid legal requests; and
  • protect the rights, safety, and integrity of AICaller and its users.

4. Legal bases

Where GDPR or UK GDPR applies, we process information as necessary to perform our contract, pursue legitimate interests in operating and securing the service, comply with legal obligations, and, where required, based on consent. You may withdraw consent at any time without affecting earlier lawful processing.

5. Service providers

AICaller uses vetted providers to deliver specific parts of the service. These include OpenAI for AI processing, Twilio for calling and phone verification, Zsend for email delivery, Stripe for payments, Vercel for application hosting, and PlanetScale for database infrastructure.

These providers process information only for the services they supply and are subject to contractual and legal obligations. We may also disclose information when required by law, to protect rights or safety, or as part of a business transaction subject to appropriate safeguards.

6. Data location and international access

AICaller stores application data in United States regions only. If you access the service from another country, your information will be transferred to and processed in the United States. Where required, we use recognized safeguards for international data transfers.

7. Retention

Call recordings and transcripts are retained for 30 days and then deleted from AICaller's active systems, unless a longer period is required by law or necessary to preserve evidence of security abuse or a legal dispute.

Other business, account, billing, and security records are retained only for as long as necessary to provide the service and meet applicable legal obligations.

8. Cookies and security

AICaller uses cookies and similar storage required to authenticate users, maintain sessions, preserve security, and operate core service features.

We use administrative, technical, and organizational safeguards designed to protect information. No service can guarantee absolute security, and users are responsible for protecting their credentials and devices.

9. Your privacy rights

Depending on your location, including under GDPR, UK GDPR, and California privacy law, you may have rights to access, correct, delete, restrict, object to processing, or receive a portable copy of personal information. You may also withdraw consent and complain to your local data protection authority.

AICaller does not sell personal information or share it for cross-context behavioral advertising. We will not discriminate against you for exercising an applicable privacy right. We may verify your identity and authority before completing a request.

10. Business users and age

AICaller is a business service and is not directed to children. Users must meet the minimum legal age required to enter a binding agreement in their jurisdiction.

11. Changes and contact

We may update this Privacy Policy to reflect service, legal, or operational changes. Material updates will be posted with a new effective date.
